*****This new process applies to grade changes within the one-year policy only.*****

With this process, you can easily submit grade changes and WN reversal requests on behalf of your students. This system enables real-time tracking at every stage of the approval process, ensuring greater visibility. You will also receive automated email notifications when a request is submitted and finalized, keeping you informed throughout the process. Once approved, the grade change will be reflected immediately on the student’s record. For WN reversals, once approved, the WN will not only be removed from the student’s record but will also automatically update the Verification of Enrollment (VOE) rosters to reflect the change.

This new online grade change process is designed to reduce processing time and create a more efficient workflow for faculty and administrative staff. For additional details on how to submit a request and track its progress, please refer to our self-directed instructional videos and comprehensive guides. These resources cover essential aspects and steps required to navigate and operate the system proficiently. Select the link to access Grade Change Form resources and see the attached guide. Both the guide and the link to instructional resources will be housed on the Registrar’s page.

Change of Grade Process

The purpose of this memorandum is to establish guidelines for change of grade and associated deadline and thereby facilitating timely progress to degree completion and compliance with financial aid requirements that all courses taken contribute to degree completion. This policy is intended to reflect the University’s commitment to the student success goals and the requirements of New York State’s Regulations of the Commissioner of Education. Application for a change of grade, assigned by a member of the faculty, may be made at any time within one year from the end of the semester in which the course was taken. Either the student or the instructor may make this request according to campus procedure. The procedures outlined below apply to the change of passing letter grades, PEN, F, FIN, WU. Grades cannot be changed once a student has graduated and their academic record is closed.
